Information we collect

Website visitors
Infrastructure providers such as Cloudflare may process IP addresses, visit times, browser information, and network requests. Google Analytics loads only after you consent to analytics cookies and may then process page interactions, session statistics, approximate location, and browser or device information.

Enquirers and clients
This may include names, contact details, tax residency, income and asset records, investment transactions, family relationships, payment and communication records, and information necessary to assess a project and complete a written engagement.

Professional applicants
This may include practice location, professional credentials, specialist experience, rate preferences, contact details, and other information supplied voluntarily in an application. Agreement to possible public disclosure does not authorize automatic publication; the specific content must be separately confirmed.

Whether providing information is voluntary

Website enquiries and professional applications are voluntary. If required fields are not provided, we may be unable to respond, assess a matter, or review an application. Information required for a formal service is identified in the written engagement or information request. Do not send Social Security numbers, passports, complete returns, or other highly sensitive information through URLs, ordinary email, or fields not designated for that purpose.

How information is used

Information is used to respond to enquiries, assess and price projects, perform necessary checks, review professional applications, prepare and deliver agreed services, maintain records, address disputes, secure the website, and meet applicable legal and professional obligations. We do not sell client tax information or use it for third-party targeted advertising.

Recipients and service providers

  • Cloudflare: website hosting, content delivery, security, and transmission of application-form email.
  • Google Analytics 4: aggregate website analytics after you consent.
  • Participating professionals: access to necessary client information only within the written engagement and their actual responsibilities.
  • Other support providers: such as email, payment, secure file-transfer, and business-system providers, limited to information needed for their role.

Cross-border processing

Information may be processed in New Zealand, the United States, and other countries where service participants or necessary infrastructure providers operate. We limit access according to actual responsibilities and assess overseas protection through applicable law, contractual safeguards, or other reasonable measures. If a recipient does not provide comparable protection, or tax-information rules require specific consent, we provide the required notice and obtain valid authorization before disclosure. This policy or a general website checkbox does not replace any legally required specific consent.

Retention and security

We retain information only for as long as reasonably necessary for the relevant purpose, legal or professional obligations, and legitimate dispute handling. General enquiries and applications that do not become engagements are deleted or anonymized when no longer reasonably needed. Client engagement records, final deliverables, and necessary workpapers may be retained for up to seven years where appropriate to the service and applicable requirements. Sensitive identity material that is no longer needed may be deleted sooner.

We use reasonable administrative, technical, and access controls appropriate to the sensitivity of the information and require people and providers with access to undertake suitable confidentiality and security obligations. If a privacy or security event requires notification, we notify the appropriate authority and affected individuals as required by applicable law.

Your rights

Under the New Zealand Privacy Act 2020, you may request access to or correction of personal information we hold about you. Send questions or complaints to support@ustaxpilot.com. If you remain dissatisfied, you may complain to the New Zealand Office of the Privacy Commissioner.

Cookie and analytics choices

Google Analytics loads only after you choose to consent. Refusing analytics cookies does not affect core website functionality. You may reopen the choice window at any time to change analytics settings for future visits.
